Outwitly Inc. is seeking a dynamic, organized, and growth-minded Talent Coordinator to join our team and play a pivotal role in supporting our talent acquisition and community development ambitions. The ideal candidate will be a proactive individual with exceptional communication skills and a keen eye for detail. As a Talent Coordinator, you will collaborate with us to identify, attract, and nurture top talent, ensuring a seamless and positive experience throughout the talent lifecycle.

 

A bit about us:

We are a consulting firm specializing in UX and service design, who also provide Staff Augmentation services to our clients. We use design thinking, human-centered design and research to solve complex business problems, and we work closely with our clients to create delightful end-to-end customer experiences. We often work on public sector projects across Canada and in industries like healthcare, finance, tech, and insurance.

Outwitly is 100% remote. The Talent Coordinator role is a full-time, remote position based in Canada. Please note that you must already be legally entitled to work in Canada. Due to the nature of our work, who our clients are, and for the security requirements of our projects, candidates must be physically located in Canada to work with us.

As our talent coordinator, you will work closely with the CEO, Director of Design, and Director of Sales, becoming a pivotal part of our team with opportunities to grow your career. You will lead our talent acquisition process, from talent sourcing to screening and interview coordination, to talent engagement, community development, and ensuring an exceptional candidate experience from start to finish. You’ll be responsible for improving our internal processes and developing new approaches that will support our growth ambitions.

 

RESPONSIBILITIES 

  • Talent Sourcing and Outreach:
    • Understand client requirements for Staff Augmentation and utilize recruiting tools and CRM to identify candidates that align with client needs.
    • Proactively source talent on an ongoing basis to grow our talent pool.
    • Develop recruiting scripts and reach out to 50+ candidates per staff augmentation request.
    • Utilize online platforms (such as Linkedin), professional networks, and other channels to identify and engage potential candidates.
    • Build and maintain relationships with universities and alumni networks to identify new talent.
  • Candidate Screening and Interview Coordination:
    • Review resumes and applications to assess candidates’ qualifications and alignment with staffing requirements.
    • Coordinate and conduct initial screening calls to evaluate candidates’ skills, experience, and cultural fit.
    • Coordinate and schedule interviews between candidates and subject matter experts (interviewers).
  • Candidate and Contractor Experience:
    • Serve as a point of contact for candidates, addressing inquiries and providing information about the organization and interview process.
    • Ensure candidates have a positive and professional experience throughout their interactions with the company.
    • Check-in with selected candidates (contractors) throughout the onboarding process and occasionally during their contract. 
  • Community and Talent Engagement:
    • Lead community development initiatives, keeping talent pool and contractors engaged.
    • Coordinate and implement talent engagement initiatives, such as networking events, workshops, webinars, etc.
  • Collaboration:
    • Work closely with the team, hiring managers, and other stakeholders to understand talent needs and align sourcing strategies.
    • Provide timely updates and insights to hiring teams regarding candidate status and pipeline progress.
  • Data and Process Management:
    • Maintain thorough, accurate, and up-to-date candidate information in our CRM related to skills, experience, and availability.
    • Generate reports and metrics related to candidate pipelines, sourcing channels, and interview outcomes.
    • Identify areas for process optimization and contribute to the enhancement of talent acquisition and management procedures.

 

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • 2+ years of experience in talent acquisition or recruitment.
  • Strong interpersonal and communication skills, with the ability to build rapport and effectively engage with candidates and team members.
  • Detail-oriented mindset and excellent organizational skills.
  • Ability to work collaboratively in a fast-paced environment and adapt to changing priorities.
  • Strong problem-solving skills and a proactive approach to challenges.
  • High level of discretion and ability to handle confidential information with professionalism.
  • Experienced using LinkedIn recruiting tools and social media.
  • Proficient in Google Suite, Slack, Zoom, Microsoft Suite, LinkedIn Sales Navigator, and CRMs (currently using Copper).

 

Assets:

The following criteria are not required but would be considered an asset:

  • Knowledge of UX Design, Human-Centered Design, Research, Service Design, and Software Development.
